Filings calendar for a Cyprus corporate service provider with 50+ client companies
Which share events start which Cyprus Registrar clock (HE12, HE57, HE14, HE16, s.137, UBO changes) and how a provider with many clients keeps them in view.
A provider with fifty or more client companies does not miss deadlines because it cannot count to fourteen. It misses them because the event that starts the clock is recorded somewhere else, on a different day, by a different person. The way to keep many companies in view is to know which events start which clock, and to record the right date for each.

The beneficial-owner register also has an annual confirmation between 1 October and 31 December of each calendar year, and a first filing within 90 days of registration. The month is a calendar month: one month from 12 March is 12 April.
Three points catch people out. HE57 runs from the register entry, not from the signature on the instrument of transfer. A single board meeting can start several clocks at once. And the beneficial-owner threshold is measured on issued shares and voting rights, so an allotment can move someone over 25 per cent while options and convertible notes, which are not shares until conversion, do not.
A worked example
On Thursday 12 March 2026 a client company passes a resolution increasing its authorised capital and allots new shares the same day. A separate special resolution, on another matter, is also passed that day.
- HE14 and the copy of the special resolution: 27 March 2026 (15 days).
- HE12 for the allotment: 12 April 2026 (one month).
- On 20 March an existing shareholder's transfer is entered in the register. HE57: 3 April 2026 (14 days).
- The allotment takes a new holder past 25 per cent. If the company learns of it on 12 March, the beneficial-owner change is due within 45 days: 26 April 2026.

Keeping fifty companies in one view
- Record the dated event, not the filing. If each allotment, registered transfer and resolution is recorded with its own date, Ekvi works out the form and the deadline from the rule book. A calendar you fill in by hand depends on someone remembering to do it.
- One row per company. Ekvi's Attention screen lists the companies you can read with their counts of action required, due soon and watch. It does not add them into a single total, and a company's holders never appear on another company's row.

- Single deadlines in a calendar app. The deadline calendar turns one event and one date into an entry with reminders a week and a day before.
What to do on takeover
When you take a client over, the first question is which clocks are already running. Import the register with original dates and every past allotment and transfer without a "filed" mark will show as overdue until you mark it filed; that is the honest picture, and it is better to see it on the first day.

Questions
Which share events start a filing clock in Cyprus?
An allotment (HE12, one month, s.51), a registered transfer of a private company's shares (HE57, 14 days, s.113A), a resolution increasing capital (HE14, 15 days, s.62), a consolidation, subdivision, cancellation or conversion of shares (HE16, one month, s.61), any special or extraordinary resolution (copy to the Registrar within 15 days, s.137) and a change in a beneficial owner (45 days from knowing of it).
Does the HE57 clock start on the date the transfer is signed?
No. Under s.113A it runs from the registration of the transfer in the register of members, so the date of that entry has to be recorded.
Can Ekvi show a total of overdue filings across all my clients?
No, deliberately. The Attention screen shows one row per company with its own counts and adds nothing up across companies; a partner sees a company's counts only where that company's administrator has granted it.
